Who is responsible for your information?

Sea Embers Books is the publishing imprint for the work of Lisa Troy and Elena Lyra. This notice covers information handled through the Sea Embers Books website, author newsletters and reader correspondence.

What information is collected?

• Newsletter subscriptions: your email address, your name if you provide it, the list or language you subscribe to, and records of your subscription choices. Signup time, source and IP address may also be recorded by the signup service.
• Email administration: delivery failures, unsubscribe requests and other information needed to manage the mailing list.
• Messages: your contact details and whatever information you include when you email me.
• Website visits: technical information such as IP address, browser and device information, and request logs processed by the website host to deliver and protect the site. Optional analytics and email tracking are addressed below.

Your email address is needed to send a newsletter or an email-delivered reader gift. Providing your name is optional. Contacting me does not automatically subscribe you to marketing emails.

Why your information is used

With your consent: to send the author newsletter you requested, including book news, behind-the-scenes updates and occasional offers, and to send a reader gift offered with that subscription. The English newsletter is the Lifnos Gazette; the Spanish newsletter provides news about the Spanish-language books.

For legitimate interests: to respond to enquiries, keep the website secure, troubleshoot delivery problems, and maintain limited records that help prevent unwanted emails. These interests are balanced against your privacy rights.

For legal obligations: where records or disclosures are required by applicable law. If a reader gift is offered independently of newsletter membership, requesting that gift is not consent to subsequent marketing.

Newsletter providers and other services

Service providers process information needed to perform their tasks. Your information is not sold or provided to unrelated advertisers for their own marketing.

• Squarespace hosts this website and processes information involved in providing it. See Squarespace’s privacy policy.
• EmailOctopus provides the English newsletter signup page, mailing-list management and email delivery. It processes subscribers’ data on the author’s behalf. See EmailOctopus’s privacy policy.

SendFox manages Spanish-language newsletter subscriptions and email delivery. BookFunnel delivers reader books and processes the contact and delivery information needed for those requests.

Zoho Mail handles author correspondence. See Zoho’s privacy policy. Cloudflare is used in the domain setup; the information processed depends on the domain services involved. See Cloudflare’s privacy policy.

Authorised service providers may use their own contracted providers to host systems or deliver emails. Information may also be disclosed to authorities when legally required.

Where information is processed

Some providers or their support and delivery partners may process information outside Greece or the European Economic Area. Provider location alone does not mean that all processing stays in that country. Contact me for information about the providers handling your data and the safeguards applicable to an international transfer.

Cookies, analytics and email tracking

Technical information needed to serve and secure the website is distinct from optional analytics or advertising tracking. EmailOctopus newsletter analytics are enabled. Reports record delivery and interactions such as opens and link clicks, helping me understand reader engagement. Open tracking uses a small image, and click tracking uses tracked links. These interactions may involve technical information such as IP addresses. Blocking remote images in your email application can limit open tracking but does not prevent click tracking. You can unsubscribe at any time.

Links to bookshops, social networks and book-delivery pages take you to services with their own privacy notices. Review those notices when using the services. Purchases on external bookshops are handled by those shops.

How long information is kept

Newsletter contact information is kept while you remain subscribed and the newsletter service continues. Unsubscribing stops further marketing from the relevant list; it does not necessarily erase every associated record immediately.

Limited records of consent and unsubscribe requests may be retained as needed to demonstrate permission, honour your choices and prevent accidental re-subscription. This is based on legitimate interests in managing those obligations, and on legal obligations where applicable. Such records are not used to send further marketing.

Enquiries are retained for as long as needed to resolve the issue and any related dispute or legal requirement. Records are reviewed and removed or anonymised when they are no longer needed. Backup deletion follows the relevant provider’s retention cycle.

Your choices and rights

You can withdraw newsletter consent at any time using the unsubscribe link in each email or by contacting me. Withdrawing consent does not affect processing that was lawful before withdrawal.

Subject to the conditions in data-protection law, you can request access to your data, correction, deletion, restriction of processing, and portability. You may object to processing based on legitimate interests and can object to direct marketing at any time.

Send requests to lisa@seaembersbooks.com. I may need enough information to verify your identity before disclosing or changing personal data. Requests are normally answered within one month; where the law allows an extension, you will be told why and when to expect a response.

You may complain to the Hellenic Data Protection Authority or another competent supervisory authority, including in the EU country where you live or work. You do not have to contact me first.

Changes to this policy

This page will be updated when relevant practices change. Significant changes will be brought to your attention as appropriate; updating this notice does not replace obtaining fresh consent where required.
